Salary: Dependant on Experience
This role is ideal for someone who enjoys working in a technical, fast-paced environment and has a keen interest in construction, engineering, and regulatory compliance within the fire protection industry. The successful candidate will support the legal and commercial functions by assisting with the review, drafting, and management of contracts, maintaining compliance records, conducting legal research, and providing administrative support for the company’s legal and project operations. Experience proofreading legal reports would also be desirable.
Main Duties
Contract & Document Management
- Assist in drafting, reviewing, and managing a wide range of contracts, including client agreements, subcontractor agreements, NDAs, and service contracts
- Support the negotiation process by preparing contract summaries, highlighting key risks, and ensuring adherence to company standards and legal requirements
- Maintain an organised contract management system, ensuring that executed documents are stored and tracked properly
- Monitor key contractual dates such as renewals, expirations, and deliverable deadlines
Legal & Regulatory Support
- Conduct legal research on construction law, fire safety regulations, standards, (Building Safety Act 2022, Construction Contracts Act 2013, Fire Safety Act 2021) and industry-specific compliance requirements
- Assist in ensuring the company complies with relevant statutory and regulatory obligations, including health and safety, data protection (GDPR), and public procurement requirements
- Support responses to regulatory or client audits and manage documentation for insurance, certifications, and professional accreditations
Risk & Claims Management
- Assist the Operations and Commercial teams in identifying potential legal or contractual risks in tenders, contracts, and ongoing projects
- Prepare documentation to support claims, variations, or dispute resolution processes
- Help develop and maintain internal risk registers and compliance checklists
Corporate & Administrative Support
- Maintain company legal files, insurance documentation, professional registrations, and other compliance records
- Proofreading legal reports
- Assist with company secretarial duties, including preparing board minutes, resolutions, and policy documentation
- Support internal training and compliance initiatives relating to contract management, data, and regulatory changes
Collaboration
- Work closely with fire engineers, project managers, Commercial, and Operations teams to ensure alignment between operational and legal obligations
- Liaise with external solicitors, clients, and consultants as required
Key Skills & Requirements
- Legal qualification such as a law degree, legal executive diploma (CILEx), or equivalent certification
- 2+ years' experience as a Paralegal, Contracts Administrator, or Legal Assistant, preferably within construction, engineering, or building services
- Experience reviewing and managing contracts under UK or Irish law (knowledge of JCT, NED, or FIDEC contracts advantageous)
- Good understanding of contract law, commercial terms, and risk management principles
- Awareness of fire safety regulations, building control legislation, and construction industry compliance frameworks
- Proficiency in Microsoft Office and document management systems
- Experience with digital signature and contract management platforms (e.g. DocuSign, SharePoint, etc.)
- Excellent attention to detail and organisational skills
- Strong written and verbal communication abilities
- Ability to work independently and manage multiple priorities under tight deadlines
- Collaborative, professional, and confident when engaging with both internal and external stakeholders
Preferred Qualifications
- Paralegal certification or membership with a recognised professional body (CILEx, IPSA, Law Society of Ireland)
- Previous experience in the fire engineering, construction, or building compliance sectors
- Familiarity with health and safety and risk management frameworks (e.g. ISO 45001)
